1. Who we are

For personal data collected through this website and our client relationships, we are the data controller. Contact: hello@thebestchatter.com. This site and service are intended for adults aged 18 or over only.

2. Data we collect

Enquiry data: name, email address, and roster size when you submit a form on this site.
Booking data: information you provide when scheduling a demo through our booking provider.
Client operational data: when you become a client, account access credentials (stored in encrypted credential vaults, never in plain text), onboarding information (voice, boundaries, pricing), message content, and transaction records needed to deliver the service.
Technical data: standard server logs (IP address, browser type) collected by our hosting provider for security and delivery.

3. How and why we use it

To respond to enquiries and book demos (legitimate interests / steps prior to a contract).
To deliver, bill and improve the service (performance of a contract; legitimate interests).
To keep our systems secure and prevent abuse (legitimate interests; legal obligation).
We do not sell personal data and do not use it for third-party advertising.

4. Fan data

When delivering the service we process data about our clients' fans (such as usernames, message content and purchase history) on behalf of and under the instructions of the creator or agency client. For that data the client is the controller and we act as processor. We process it only to deliver the service, apply the client's rules, and produce reporting, and we do not use it for any other purpose.

5. Who we share data with

Service providers acting under contract: website hosting and form handling (Netlify), demo scheduling (Calendly), font delivery (Google Fonts, which may log your IP when fonts load), secure credential storage, and the platforms on which we operate client accounts.
Authorities where required by law.
No one else. We never sell or rent personal data.

6. International transfers

We are based in the United States and personal data is processed there. Where we handle personal data of individuals in the UK or EEA, we rely on appropriate safeguards such as the EU Standard Contractual Clauses and the UK International Data Transfer Addendum.

7. Retention

Enquiry data is kept for up to 24 months after last contact. Client operational data is kept for the duration of the engagement and up to 6 years afterwards where needed for legal and accounting purposes, then deleted. Credentials are deleted promptly when an engagement ends.

8. Security

We use encryption in transit, encrypted vaults for credentials, access controls, and full activity logging. No system is perfectly secure, but every message and transaction we handle is logged and auditable.

9. Your rights

If you are in the UK or EEA, you have the right under GDPR to access, rectify, erase, restrict, object to, and port your personal data, and to withdraw consent where processing is based on consent. You may also complain to your local supervisory authority (in the UK, the Information Commissioner's Office, ico.org.uk).

If you are a California resident, you have rights under the CCPA/CPRA including the right to know, correct, delete, and opt out of the sale or sharing of personal information. We do not sell or share personal information as defined by the CCPA.

This site sets no advertising or analytics cookies. The only cookies or similar technologies that may be set are:

Strictly necessary: set by our hosting provider to deliver the site securely.
Booking embed: if you open our demo booking page, Calendly may set its own cookies, governed by Calendly's privacy policy.
